Delegate Registration

Welcome Friends!

The staff at Bays Mountain Planetarium are very excited and honored to have you attend this very special planetarium conference! The event will run from Tuesday, June 20, 2023 to Saturday, June 24, 2023. To attend this conference, you must be an up-to-date member of at least one of the seven US planetarium regionals. [GLPA, GPPA, MAPS, PPA, RMPA, SEPA, SWAP] If you need to update your membership(s), payments will be done through your parent organization, not through the registration portal.

We have chosen the Whova event management system for conference registration. In order to make your registration experience as smooth as possible, please read the following information before beginning the registration process.

Registration will be closed on June 5 at 11:59 p.m. EDT, two weeks prior to the start of conference. Sorry, there will not be any day passes, walk-in registrations nor “visits.” Also, due to space limitations in certain conference venues, we must cap attendance to 350.

Before You Register

IMPORTANT INFORMATION – PLEASE READ

In order to simplify your registration experience with Whova, you will need to look over the conference details contained on this site and make a few decisions about conference activities and items prior to registering.

Registration deadlines are as follows:

  • April 30, 2023 11:59 p.m. EDT: Early registration ends
  • May 1 – May 22, 2023: Late registration period (Additional $25.00 added to registration fee)
  • May 23 – June 5, 2023: Extremely Late registration period (Additional $50.00 added to registration fee)
  • June 5, 2023 11:59 p.m. EDT: Registration ends.

Registration Ticket Options:

  • Full Delegate Registration – $375.00
  • Student Delegate Registration – $187.50 (Must be a full-time student.)

Registration includes all meals, a field trip, conference T-shirt, Friday Gala and transportation. Several Friday workshops have additional fees.

How to Register

Once you have reviewed the conference information and are ready to register, follow the steps below:

Step 1: Click the Register button below, which will take you to the event registration page on Whova.

  • NOTE – To save the conference additional fees, we are not using the Whova payment system. As such, tickets will show as being ‘FREE’ for the registration process.
  • Invoices for your registrations fee will be sent from SEPA after you register. See payment information in Step 7 below.

Step 2: Make your ticket selections for Registration type, Pre-conference Workshops and Guests.

  • Select either the Full Delegate or Student Delegate Registration ticket by clicking the Quantity drop-down menu and selecting the number of registrations.
    • You may complete more than one registration, if you are registering additional people.
  • If you wish to attend one of the Pre-Conference Workshops, select the appropriate ticket for that workshop. Select the appropriate quantity, if you are registering more than yourself.
  • If you will have guest(s) who will attend conference meals and/or a field trip, select the Guest Registration ticket and choose the number of guests.

Step 3: Scroll down to the Add-on section.

  • Select the Friday Workshops you wish to attend for Sessions 1, 2 & 3.
    • You can choose up to three workshops – One for each of the three sessions.
    • Note – Some workshops span two sessions.
    • Due to limited space for certain workshops, please do not select a workshop unless you plan to attend.
  • Next, scroll further and select the Field Trip that you wish to attend on Wednesday, June 21.
    • Do not select more than one field trip, unless you are registering other delegates or guests.
    • If you do not wish to attend a field trip, do not make a selection.
    • Also, if you have guest(s) who wish to attend a field trip, be sure to select a field trip add-on for them, as well. The guest fee for field trips is $20.00.

Step 4: Scroll down to the bottom of the page and click on the Next button.

Step 5: Complete the Question form(s).

  • Fill in the all required information.
  • If you are registering additional delegates, guests, or selected a Pre-conference workshop, there will be additional question forms for each. Be sure to enter the name for each delegate or guest.
  • The last question is from Whova and is related to their app, which can be downloaded and used during the conference to view the conference agenda, session information, floor plans, network with other delegates and a few other conference related features. More information will be provided as we get closer to the conference.

Step 6: Click the Register button at the bottom of the page.

  • If any required information is missing, you will need to complete those sections and click the register button again.
  • Once you have successfully registered, you will receive a confirmation email.

Step 7: Payment

  • Important Note – Payment for registration is not done through the Whova site.  
  • After registering, you will receive an invoice from SEPA for the total registration fees to be paid by the method you selected in the registration questionnaire.
  • Please be patient. Invoicing is a manual process, so you may not receive an invoice right away.

Cancellation Policy

      • Cancellations made up to June 5, 2023 11:59 p.m. EDT will receive a full refund.
      • Cancellations made between June 6 and June 19 at 11:59 p.m. EDT will receive a 50% refund.
      • No refunds will be given starting June 20, 2023.
